Coming to CILIPS23

When and Where

The CILIPS Annual Conference 2023 is being held on Monday 5th and Tuesday 6th June at the Apex City Quay Hotel and Spa, 1 West Victoria Dock Road, Dundee, DD1 3JP.

The hotel is a short walk from Dundee Railway Station. For those travelling by car, the hotel has ample parking in its grounds that is free during our event time – please speak to reception when leaving. A car sharing scheme for delegates also features as part of our sustainability steps (more below).

Conference Programme and Registration

copy of the programme is here and we encourage you to use the digital version of this as there will be no paper copies on the day in order to improve sustainability. If you need a printed programme for accessibility, please let us know.

Registration opens at 9.30am each day and the registration desk will be positioned diagonally opposite the reception.

The President’s Drinks Reception and Conference Dinner are only open to full delegates and those day delegates who booked dinner.

Hotel Accommodation

If you have booked a package that includes a stay in the hotel then you can check-in from around 2.30pm. The hotel will be happy to store bags at the reception until then and some rooms may also be made available early. The hotel features a gym, swimming pool and spa.

Exhibition

The trade exhibition takes place in the main conference refreshment area and opportunities are provided throughout the programme for delegates to engage with suppliers. We will be running a competition throughout the event in connection to the exhibition where you can win a Samsung tablet.

Please take time to visit our exhibitors and explore how they may be able to help you in your work. The trade exhibition is central to the success of our event and CILIPS is very grateful for the support of our exhibitors.

Exhibitor Competition

Our conference would not be possible without our exhibitors and we encourage you to engage with them during breaks and lunch. In your delegate bags, you will have a #CILIPSGoGreen eco-notebook – if you can get 5 exhibitor signatures in the back page of this and show registration, then you will be entered into a prize draw to win a tablet and other prizes. This competition is sponsored by Lote4Kids – a database of over 2500+ picture books in 55+ World Languages to help libraries engage culturally and linguistically diverse families in their communities, and there is an additional chance to win a 6 month subscription in your delegate bags.

Photos

For part of the event a photographer will be in attendance. Formal and informal shots taken will be used for marketing and publicity purposes, so please speak to registration if you would not like to appear in any photos.

Day One – Visits 

If you are around on 5th June, we have two activities at the end of the day. We have a tour of the University of Dundee CreateSpace from 5pm, meeting at registration at 4.40pm to walk up to the CreateSpace (please note that this opportunity is now fully booked). We also have a demo of the Public Library Community Dashboard from CILIPS23 exhibitors Integratis Consulting, which is taking place in the Art Gallery from around 4.40pm (no booking required).

Day Two – AGM

The CILIP Scotland AGM will take place on Day 2 of the conference and you will be able to access the papers here. All members are entitled to approve/second motions or vote when required. Non-members can attend as observers.

COVID

We fully recognise that in-person events can be worrying for some. Please be respectful of others as much as possible and speak to the conference organisers if you are concerned about anything. Please do not attend if you have any of the recognised COVID symptoms and we can refund your place. Masks are not a legal requirement but anyone who would be more comfortable wearing one should do so.

Sustainability

We have taken a number of steps to improve the sustainability of the conference including a digital only programme, a fully vegetarian lunch menu, a car sharing scheme and much more. Learn more here.

As usual, we ask that all delegates familiarise themselves with our Code of Conduct and please speak to any of the CILIPS team if you have any questions about this.

Assistance and Support

Throughout the event, information and assistance is available at the registration desk. In addition, conference helpers and the CILIPS conference team will be on hand to ensure that everything runs smoothly and that your time at #CILIPS23 is enjoyable and productive.

If you need some quiet during the conference, please speak to the registration desk or our conference team, who can direct you to a quiet space in the hotel where you can relax away from the crowds.

Conference Hashtag

The hashtag for the conference is #CILIPS23 and you are encouraged to tweet your thoughts and impressions of the event using the hotel’s complimentary wi-fi. Please also share images on Instagram with the same hashtag.

Conference Newcomers 

We realise that it can be daunting if you have not been to a conference before or are coming on your own and aren’t comfortable networking. To help get people talking, we have put a Protests and Suffragettes card in your conference bag – developed in collaboration with libraries across Scotland – and at least one other person has the same card as you. Why not speak to people and find out what card they have? Even if you don’t find a match then make sure to introduce yourself anyway! And if you do find a match, take a selfie together and post it to Twitter or Instagram with the hashtag #CILIPS23 or email the photo to admin@cilips.org.uk. Every match will be entered into a ballot to win free places for next year’s conference!

We will also have a newbie networking zone near registration where you can meet other delegates who are there for the first time. Look out for our conference newbie pin badges!

Evaluation and Feedback

After the event all delegates will be emailed a short evaluation form. The anonymized information you supply to CILIPS via this form will be used to monitor and improve our events.
